Role Overview As Workplace Manager, you own the day-to-day workplace experience at Harvey’s Bengaluru office- keeping operations running smoothly while helping us build a warm, reliable hub for our India-based team and visitors. You’ll be the primary on-site point of contact for employees, visitors, and our serviced-office provider, ensuring the space is safe, functional, and welcoming every day. This is a fully in-office role based in Bengaluru, with an expectation of on-site presence Monday through Friday during standard business hours to support the daily workplace experience. What You'll Do Workplace Operations Own the end-to-end workplace and guest experience for the Bengalore office, setting and maintaining standards for safety, functionality, and employee satisfaction in a serviced-office environment. Act as Harvey’s primary liaison to the landlord and building management for all facilities, access, cleaning, and shared-amenity topics; escalate and track issues through to resolution. Oversee and coordinate day-to-day operations in the suite, including: Workplace ticket triage and follow-up (temperature, cleaning, access, minor repairs, etc.) Food & beverage basics (snacks, beverages, pantry supplies) within the constraints of the serviced space Office supplies, shipping/receiving, and asset inventories Seating plans and space planning Maintain clear SOPs and documentation for the Bengalore office (visitor access, safety procedures, vendor contact lists, etc.), ensuring they stay aligned to global Workplace standards. Coordinate small moves/adds/changes (desk changes, seating swaps) and support global Workplace on any larger changes Support the development and tracking of the local office operating budget (supplies, vendors, small projects), providing data and recommendations to the global Workplace/Finance teams. Manage local vendor relationships end-to-end for Bengalore-specific needs (e.g., snacks, plants, couriers, ad-hoc maintenance) in partnership with global Workplace: Sourcing and selection Day-to-day performance management and coordination Working with global teams on contracts, POs, and payments. Ensure programs and services delivered locally (e.g., snacks, events, signage, visitor experience) are consistent with Harvey’s global Workplace standards and brand. Onboarding & Culture Create a warm, inclusive office environment that reflects Harvey’s values and culture for our India-based team and visitors. Own the local workplace onboarding experience in Bengalore: Office tours, desk setup, access, and wayfinding Swag distribution and first-week “office logistics” touchpoints Partnering with People Ops to refine the experience based on new-hire feedback. Coordinate logistics for local team events (small offsites, all-hands watch parties, team celebrations). Support logistics for visiting employees and executives from other Harvey offices (desk reservations, meeting-room bookings via TEC, access, local recommendations). Partner with Recruiting and relevant leaders on high-touch candidate and client visits to the Bengalore office, ensuring the space and experience are polished and on-brand. Draft and send office-related communications and announcements for Bengalore(office updates, closures, maintenance, events), calibrated to Harvey’s tone and guidelines. Cross-Functional Partnership Serve as the on-the-ground extension of the global Workplace team for India, helping to localize and implement global policies, programs, and standards in the Bengalore office. Partner with IT on local hardware logistics (shipping, storage, basic troubleshooting triage, handoffs to IT) and support coordination for any in-office IT projects. Coordinate with Security, People Ops, and Finance to ensure: Access policies and visitor protocols are followed Local practices align with Harvey’s safety, compliance, and cost expectations Local invoices and expenses are routed correctly and on time. Contribute to cross-office workplace projects as needed (e.g., playbook updates, vendor evaluations, office-move planning) and provide a Bengalore perspective in decisions. What You Have 4+ years of experience in workplace/facility management, office operations, or a similar role, ideally at a fast-growing tech or startup company; experience with serviced offices or co-working environments is a plus. A genuine passion for creating great workplace experiences and making people feel welcome. Ability to maintain composure and effectiveness in high-pressure or fast-changing situations (e.g., multiple issues surfacing at once, high-stakes visits). Experience with office systems (HVAC, plumbing, electrical, lighting) and the ability to communicate clearly with building/facilities teams to resolve issues (even if you are not repairing them yourself). Strong ability to assess, plan, and organize work efficiently, especially in a smaller office where you may be the only dedicated Workplace team member on site. Experience using ticketing systems and/or project management tools to track and manage tasks, requests, and small projects. A proactive, solutions-oriented mindset—you see what needs to be done, prioritize effectively, and take initiative without being asked. Strong organizational skills and the ability to juggle multiple (sometimes conflicting) priorities while maintaining attention to detail. Excellent interpersonal and communication skills; you’re someone people naturally trust, feel comfortable approaching, and rely on for help. Experience managing vendor relationships (day-to-day performance, issue resolution; comfort partnering with others on contracts and budgets). Comfort working in a fast-paced, global environment where priorities can shift quickly and where you’ll collaborate across time zones. Additional Information Work eligibility: Must be authorized to work in India. Visa sponsorship is not available for this role.
